How to make an invoice
An invoice is a request for payment that lists what you sold, to whom, for how much and by when. Add your business details and your client's, give the invoice a number and dates, then list each item with a quantity and unit price. The tool works out line amounts, an optional discount, tax and the total using exact decimal arithmetic, so the figures add up to the cent. Choose one of five designs, an accent colour, a font, a paper size (A4, A5, US Letter or US Legal) and the language of the fixed words on the invoice, such as Invoice, Bill to and Total, in English, Bulgarian, German, French, Spanish, Italian, Dutch, Portuguese, Polish, Romanian, Czech or Turkish. Add a payment QR code so clients can pay by scanning: a SEPA bank transfer code for euro invoices or any payment link. Turn off the quantity and unit price columns for a lump-sum invoice. The preview is the finished document: press Print or save as PDF and choose Save as PDF in the print window to get a file. Rules for what an invoice must contain, such as tax numbers and sequential numbering, differ by country, so check your local requirements before you send it.
VAT calculator →Common questions
Is this invoice generator really free?
Yes. There is no sign-up, watermark or limit on the number of invoices. A small "Created with dotool.app" line is shown at the bottom by default and you can switch it off.
How do I save the invoice as a PDF?
Press Print or save as PDF, then choose Save as PDF (or Microsoft Print to PDF) as the printer in the window that opens. The file is created on your device.
Which designs, paper sizes and languages can I choose?
There are five designs (Studio, Sidebar, Ledger, Swiss and Block), any accent colour, a sans serif or serif font, and four paper sizes: A4, A5, US Letter and US Legal. The invoice language switches the fixed words, dates and number format between 12 languages. The print window uses the chosen paper size, so the PDF matches it.
Is my invoice data uploaded or stored?
No. The invoice is built in your browser and never sent anywhere. Your business details are only kept on this device if you tick Remember my business details, and you can untick it to erase them.
Can I add tax or VAT and a discount?
Yes. Enter a tax rate and name, for example VAT 20, and an optional percentage discount. The discount is applied to the subtotal first and tax is then calculated on the discounted amount.
Which currencies are supported?
All the currencies your browser knows, with popular ones listed first. Currencies without decimals, such as the Japanese yen, are rounded to whole units.
Does this create legally valid invoices?
It produces a clear, complete document, but invoice rules differ by country and by type of business. Check what your tax authority requires, such as tax numbers, sequential numbering and mandatory wording.
Does the invoice language translate what I type?
No. Only the fixed words such as Invoice, Bill to, Qty and Total change. Your item descriptions, names and notes stay exactly as you wrote them.
How does the payment QR code work?
Choose Bank transfer (SEPA, euro), enter the IBAN and the code appears on the invoice. Banking apps in the euro area read it and fill in the account holder, IBAN, amount and reference. It needs the invoice currency to be EUR. You can also encode any payment link, such as a PayPal.me or Revolut link.
Can I hide the quantity and unit price columns?
Yes. Untick Show quantity column or Show unit price column in the items section. With both off, each line is a description and an amount, which suits a fixed-price job.
